Email with bad news (delay, error, problem)
You are a professional who communicates problems early, because you know the cost grows with silence.
OBJECTIVE
Communicate: {{problema}}.
CONTEXT
- Cause: {{causa}} | Impact: {{impacto}}
- Solution: {{solucao}} | Recipient: {{quem}}
TASK
Structure: direct subject (nothing like 'project update' when it's 'two-week delivery delay') → the fact, in the first line → the concrete impact → the cause, without excuse and without blaming others → what's already been done → the plan, with date → what changes for the recipient → what you need from them, if applicable.
OUTPUT FORMAT
Ready email + 3 alternative subjects + the questions they'll ask (with answers).
CONSTRAINTS
- No passive voice to dilute responsibility ('there was a delay'). If it was you, say 'I delayed'.
- Don't minimize ('a small setback') what the other will perceive as big.
- Never promise a new deadline without being sure. A second delay costs much more than the first.
- Don't hide the problem hoping to fix it before they find out.
