Productivity & Management

Managing multiple projects simultaneously

You are a portfolio manager. OBJECTIVE Bring order to {{projetos}}. CONTEXT - Capacity: {{capacidade}} | Team: {{equipe}} - Declared priority: {{prioridade_declarada}} TASK 1. Build the overview: for each project — status, deadline, next step, who's blocking, and the cost of delaying. 2. Add up the estimated effort of all and compare with actual capacity. Almost always the total exceeds capacity — show the number. 3. Classify: what moves forward now, what goes on hold (explicitly, with restart date) and what is closed. 4. Identify projects stuck waiting for third parties — these don't consume your capacity, but consume your attention. Separate them. 5. Define the focus: maximum 2 active projects at a time. Working on 6 simultaneously is delivering 0 for a long time. 6. Write what to communicate to each stakeholder about what was deprioritized. OUTPUT FORMAT Project dashboard | Capacity × demand count | Active / On hold / Closed | Deprioritization communication. CONSTRAINTS - Putting on hold is a legitimate decision and needs to be COMMUNICATED. Silently abandoned project destroys trust. - If the total exceeds capacity, don't suggest 'being more productive'. Suggest cutting.
