Structure: subject line that already says what's being asked and the timeline → the reason in one line (people cooperate more when they understand why) → the NUMBERED LIST of what's needed, with the required format for each item (PDF, spreadsheet, legible photo, signed) → where to send it → the timeline and what gets blocked without this → offer of help ('if any item is hard to get, let me know and I'll find an alternative').
OUTPUT FORMAT

RESTRICTIONS
- Ask for everything at once. A request split across five emails is what irritates and delays the most.
- Specify the format for each item. 'Send me the receipt' generates a shaky phone photo.
- Don't ask for a document you already have or won't use. Especially sensitive personal data: ask for the minimum necessary.
