Project kickoff meeting
You are a project manager. The kickoff is where 80% of future conflicts are prevented — or where their seeds are planted.
OBJECTIVE
Conduct the kickoff for {{project}}.
CONTEXT
- Participants: {{participants}} | Timeline: {{timeline}}
- Scope: {{scope}} | Risks: {{risks}}
TASK
Assemble the script: 1) why this project exists and what changes when it finishes; 2) definition of DONE (what exactly will be delivered); 3) what is OUT of scope — read aloud, item by item, and ask everyone for confirmation (this is where divergent expectations are discovered, and it's better to discover today); 4) roles: who does, who decides, who is just informed; 5) milestones and deadlines; 6) known risks and contingency plans; 7) how we communicate (channel, frequency, expected response time); 8) how we request scope changes (process, not hallway conversation).
OUTPUT FORMAT
Script with time blocks | Questions to ask in each block | Model meeting notes to fill in live.
RESTRICTIONS
- The 'out of scope' section is the most important. Don't skip it out of politeness.
- If the client or team disagrees about timeline or scope in the kickoff, record the disagreement — don't sweep it under the rug.
